Pricing policy

Purpose

This policy outlines Imagine More Pty Ltd’s approach to event pricing. It ensures compliance with Grant Agreements and the National Disability Insurance Scheme (NDIS) guidelines while upholding the values of fairness, inclusivity, and financial transparency for participants, families, and professionals.

Scope

This policy applies to all events and sessions organised by Imagine More Pty Ltd, including those funded through grants, the NDIS, or other external sources.

Policy statement

Imagine More Pty Ltd is committed to offering inclusive, accessible, and fair pricing for all event attendees. This includes people with disability, their families, unpaid supports, and professionals working in the disability sector.

Policy

Compliance with NDIA and Grant Agreements

  • Imagine More Pty Ltd complies with all relevant grant guidelines and agreement conditions.
  • Event pricing will reflect any requirements or restrictions from funding bodies to ensure transparency and accessibility.
  • People with disability, their family members, or unpaid or informal supports will not be charged for events fully funded by the government or other grant sources, unless the following applies:
    • Consortium agreements: The event is part of a joint initiative where contractual obligations to partner organisations require a consistent fee structure.
    • International speaker protocols: The event features international presenters whose multi-jurisdictional arrangements or sector-standard protocols require a registration fee.
    • External delivery: The event is hosted by Imagine More but facilitated by a third-party organisation (e.g., Towards a Better Life by ASRVA) that operates under its own pricing model.
  • If an event is only partially funded, a clearly communicated co-contribution fee may be applied to cover the shortfall.
Any contributions requested will be communicated sensitively and transparently.

Families and other unpaid supports

Imagine More recognises the critical support provided by families and any unpaid informal supports of people with disability. In the case of events that are not fully funded and require a co-payment, the following considerations will apply:

  • Discounted or free access
    • Eligible family members may access free, discounted, or capped-rate tickets to certain events.
    • The Executive Director has the discretion to waive fees in individual circumstances.
  • Flexible payment options
    • Payment plans or instalment options may be offered in cases of financial hardship.
    • Early-bird and group discounts will be available where possible.

Professional attendees

Professionals are welcome participants at Imagine More events, and their contribution is valued.

Standard events:

  • Professionals – including educators, allied health practitioners, and service providers – will generally be required to pay standard registration fees reflecting the value of the event.
However, the Executive Director has the discretion to set pricing and may determine when it is appropriate for professionals to attend at no cost.

Specialised programs:

  • Certification or advanced training events may attract higher fees for materials and expert facilitation.

Discounted access for collaborators:

  • Professionals contributing as facilitators or guest speakers may be eligible for reduced or waived fees.

General pricing guidelines

Transparency:

  • All event pricing will be listed in promotional materials and registration forms.
  • No hidden fees (e.g., credit card surcharges) will apply.

Equity and sustainability:

  • Prices will balance participant affordability and the financial sustainability of Imagine More Pty Ltd.

Refunds and cancellations:

  • A full refund will be issued if the organiser cancels the event.
  • Refunds will be managed in accordance with the event-specific refund and cancellation policy, which may include:
    • Notice period requirements for refunds
    • A late cancellation fee to recoup costs
    • Transfer of tickets to another person upon notification.
  • Alternative refund/cancellation wordings may be used based on event context.
